Overview:
We are seeking a highly organized and detail-oriented Media Finance Manager to join our dynamic advertising agency. This role is responsible for managing financial transactions related to media advertising, ensuring accurate and timely billing, payment processing and reconciliation of media purchases. The Media Finance Manager will work closely with the Connections team to resolve discrepancies with vendors and billing related matters. In addition to media specific tasks, the Media Finance Manager shares responsibility for bank reconciliations, journal entries, and general finance and administrative support. The Media Finance Manager works closely with the other members of the finance team and is the back-up for vacation coverage.
The ideal candidate will have a strong background in financial operations within the advertising or media industry, with a passion for accuracy and efficiency.
Key Responsibilities:
Accounts Payable
- Process media vendor invoices accurately and in a timely manner
- Reconcile invoices with media buys
- Liaise with the media team to resolve discrepancies
- Ensure compliance with payment terms and agency policies
- Complete payment to vendors via cheque, EFT, or credit card
Accounts Receivable & Client Billing
- Generate client invoices for media placements and service fees
- Work closely with media teams to confirm billable amounts
- Track receivables and follow up on outstanding client payments
- Maintain accurate AR aging reports and escalate overdue accounts
Bank & General Ledger Reconciliations
- Perform bi-monthly bank reconciliations and ensure accurate recording of transactions
- Reconcile general ledger accounts related to media costs and revenues
- Support month-end and year-end close processes, including accruals and journal entries
Financial Reporting & Analysis
- Assist with cash flow forecasting and budget tracking
- Support audits by preparing documentation and responding to inquiries
Other Duties
- Maintain up-to-date records and filing systems for all financial transactions
- Continuously identify and implement process improvements
- Support finance team with ad hoc projects and administrative tasks
Requirements / Skills:
- Ideally working knowledge of MediaOcean or prior experience using a large enterprise system
- Understanding of the advertising industry, specifically media-related, including the invoicing and payment of TV, Radio, Digital, Outdoor, and Newspaper medias
- Previous experience in the finance department of an advertising agency would be ideal • Prior experience with Accounts Payable, billing, and general ledger accounting including bank reconciliations
- Working knowledge of MS Office products especially MS Excel
- Able to champion administrative tasks including organizing couriers, ordering supplies, and assisting when needed throughout the agency.
- Ability to manage multiple priorities and meet deadlines
- Excellent communication skills, an analytical mind, and a proactive approach to problem-solving
Preferred:
- Experience with media buying platforms or ERP systems used in advertising
- Familiarity with agency operations and media reconciliation workflows
